Birthday Parties

Will my child’s class coaches be the coaches at his/her birthday party?

NY Kids Club birthday parties are staffed with a dedicated birthday team specifically trained to lead spectacular birthday parties. However, if your favorite weekday coach is available and would like to work your party, we can include him/her as an additional coach on the party for $75.

Can I change the date and time of my birthday party after booking it?

Yes, your birthday party day/time can be switched up to 30 days prior to the scheduled event.

Can I change my party theme/package?

Yes, your birthday party theme and/or package can be switched up to 1 week prior to the scheduled event.

What is the timeline of the birthday planning process?

  • Right after you book your party, you'll receive an email confirming the date, time, and details about what's included in the package you've selected. There will also be information about what to expect the day of your party and in the weeks to come.
  • 1 ½ weeks before your party you will receive our Birthday Details Form to complete. This form will walk over all of the details of your party, including number and ages of children attending, cake and pizza requests, what you're bringing, and any add-on items you would like us to provide.
  • The Sunday before your party, your Birthday Details Form is due.
  • On Monday, your Birthday Coordinator will reach out to you to confirm all party details and to discuss any outstanding concerns.
  • On Friday, the final balance will be charged.
  • Enjoy your party on Friday, Saturday, or Sunday!
  • Right after your party you will receive a survey about your experience. Please let us know how we did!

I booked an All-Inclusive Party. What will be included and what do I need to bring?

With your All-Inclusive Package, you get to be a guest at your own party! In addition to structured and age-appropriate activities, we will provide the following:

  • Cake or cupcakes (you'll get to choose the flavor and decoration)
  • Pizza for the children (one slice per child)
  • Juice boxes (one per child)
  • NYKC balloons (one per child)
  • Party favors (chunky puzzles or sticker booker)
  • All of the paper goods you'll need (table cloths, plates, cups, napkins and utensils)

The only thing you'll need to provide (and this is optional) is food and beverage for an adult buffet. We would also be happy to order additional pizzas for your adult guests.

I booked a Basic Party. What will be included and what do I need to bring?

Your Basic Package will include structured and age-appropriate activities led by our Special Events Team and exclusive use of the facility. You will need to bring the following items:

  • Food for the children (if you will be serving pizza, you will need to order it with us, as we use reliable vendors that will deliver the pizza hot, fresh, and on time!)
  • Cake or cupcakes
  • Juice boxes or water bottles
  • Candles
  • Food and beverage for an adult buffet
  • Decorations (ie. balloons)
  • Party favors
  • Paper goods (3 tablecloths 54X109, plates, cups, napkins, and utensils for both adults and children).

Items available in our All-Inclusive package may also be added to your party à la carte.

What is the coach to child ratio?

All NY Kids Club birthday parties have a minimum of 3 coaches and one manager. For parties with over 21 guests, the coach to child ratio is 7 to 1.

Can our party timeline be adjusted so that we spend more time in the gym and less time in the party room or vice versa?

Since our parties are specifically designed to keep the children focused and entertained for the duration of the event, we are not able to change our party breakdown. If you desire more time in the gym space, pending availability you are welcome to extend your 4:30pm party by 30 minutes. A $200 charge will be added to your final balance.

We have a wide age-range of guests attending our party - is that okay?

Of course! Our birthday team is very adept at accommodating guests of all ages. We can assure you that children of all ages will have fun!

What if additional children/siblings show up on the day of the party?

We are happy to accommodate them! You will be charged for these additional guests at the end of your party. We do recommend that you provide us with the most accurate head-count possible when we request it so that your party can be properly staffed for the most safe and memorable experience for your child and his/her guests.

Who is counted as "additional children"?

Any child participating in the gym or sitting at the party table will be counted as a party guest. Babies who are not participating will not be counted as additional guests.

What party favors do you provide?

Party favors are included in our All-Inclusive package. For one and two year old parties, we provide Melissa & Doug Farm Animal Chunky Puzzles. For three to twelve year old parties we provide Melissa & Doug sticker pads which include 20 themed pages and 5 themed sticker sheets!

What can I bring for the adult buffet? Can we bring in a caterer?

You have 30 minutes in the party room after the gym portion of the party. We recommend using the “less is more philosophy” and bringing in a few simple items for your guests yourself. We suggest a crudite platter, a fruit platter, hummus, and chips!

Can we bring alcohol for our adult guests?

You are welcome to bring in wine, beer, or champagne. Hard alcohol is not permitted on the premises.

Can you provide ice?

While we cannot provide ice, we are happy to provide an ice bucket for the ice that you bring.

Can I bring my own decorations for the party room?

Yes, however we suggest that decorations be kept to a minimum, as the team's primary focus will be on your child and your guests.

Can I drop off items for my party the day before/the morning of my party?

No, in order to provide you with a smooth and exceptional experience, we ask that you arrive with all of your items no earlier than 15 minutes before the start of your party. Our birthday team is not only a performing team but a catering team as well! 15 minutes is more than enough time for our team to set everything up.

Can I bring a piñata?

You may bring a pull string piñata (non-pull string piñatas are not permitted). The piñata must be pre-filled prior to the party. Please also provide small baggies for candy collection.

We are having a themed party. Can the children wear costumes?

Yes, children can certainly come dressed in costumes. If the costumes interfere with the safety of the gym activities planned, the children may be asked to remove their costumes.

Can we bring specific costumes for the coaches to wear?

While children are welcome to wear costumes, our coaches are only able to wear costumes supplied directly by the NY Kids Club.

Can we bring our own music?

Yes, you are welcome to bring an ipod for us to utilize in the party room during the final 30 minutes of your party. The gym portion of our parties is choreographed to specific music, and thus cannot be changed.

Can we have pizza delivered from our favorite pizza place?

If you would like to have pizza at your party, we require that you order it through us. We have excellent relationships with our pizza vendors and we guarantee that the pizza will be hot, fresh, delicious, and most importantly, on time.

What are my cake options if I choose the all-inclusive package?

Please refer to the Birthday Details Form, which can be found in your birthday confirmation email. Cake options may vary by location.

Can we have a specific theme?

We offer 9 different birthday themes! We have My First Birthday and Jump n' Jive for those very special early birthdays. For children 3 and older we offer thematic gym parties - Castles and Kingdoms, Superhero, Sports, Space Kids, Animal Planet, Treasure Island Adventure, and our Olympic Gymnastics party for children 4 years and older. If you have a more specific theme we are happy to incorporate that theme's narrative into our gym activities.

What if I want to bring a character?

While we do not recommend inviting a character, you are welcome to do so. If you do schedule an outside performer, please plan his/her appearance during the food portion of the party, which is held during the last 30 minutes of your celebration. Outside characters are not allowed into our gym space during the 1st hour of the party, if they are present they are welcome to stay in the adult buffet space.

I'd like to book Musical Tots for my party. How does that work?

The Musical Tots band add-on is available for a $150 fee. Please provide your birthday coordinator with as much notice as possible (as availability is first come first served). With the Musical Tots add-on, you will have 40 minutes of gym time, followed by a 20 minute Musical Tots performance, followed by 30 minutes in the party room.
